What does this position entail?

The Proposals Administrative Assistant will become familiar with the history of our firm, the expertise of our personnel, the services we offer and the core values we believe in to best assist the Proposal team in the development and preparation of the organization's responses to requests for proposals (RFPs) and requests for qualifications (RFQS). The goal of the proposal team is to deliver high-quality and compelling proposals to our current and future clientele to win competitive engineering, surveying, and environmental services opportunities. The Proposals Administrative Assistant will be a champion and leader of our company core values while maintaining internal and external customer engagement and satisfaction.

Some responsibilities include:

* Reviewing solicitations and preparing for kick-off meetings to understand client requests and requirements

* Scheduling kick-off meetings with team members and subject matter experts (SMEs)

* Assisting in the preparation, coordination, and submission of RFP/RFQ responses for private and public entities

* Proofreading and formatting proposal content for clarity and grammar

* Assisting with gathering accurate technical information from SMEs, maintaining consistent communication throughout the process

* Formatting, packaging, and delivering final submissions in digital and/or hard copy; coordinate with vendors as needed

* Tracking proposal schedules and outlines to meet deadlines

* Utilizing federal, state, and local procurement platforms and databases (e.g., SAM.gov, BidExpress)

* Performing related administrative tasks to support proposal development

Job Requirements

Am I qualified for this position?

* Associate's degree from an accredited college or university with a major in Marketing, Communications, Business Administration, English or other related field

* Ability to excel in individual and team environments

* Possesses excellent verbal and written communication skills

* Authorized to work in the United States

* Working knowledge of Deltek Vantagepoint, Airtable, and Microsoft Office - preferred
